Position Summary:

Reports To: Director of Education. The Student Records Coordinator is responsible for accurate and timely management of student academic records and related documentation within the school division. Additionally, the position incorporates maintaining and updating information in Education Information Systems (EIS) for both provincial and federal government agencies, ensuring that the school division meets all reporting requirements.

Key Responsibilities:

  • Maintain accurate and up-to-date student records, including personal information, academic transcripts, attendance records, and registration data.
  • Process new student registrations and handle the transition or transfer of student records between schools or divisions.
  • Ensure compliance with confidentiality and privacy regulations, including provincial and federal laws concerning student information.
  • Monitor and correct discrepancies in data across systems to ensure alignment.
  • Maintain troubleshooting issues with the information systems, liaising with IT departments or service providers when necessary.
  • Ensure that all student data entered into the provincial and federal education systems comply with government standards and submission deadlines.
  • Respond to inquiries from staff, parents, students, and government agencies regarding student records, enrolment status, or other data-related questions.
  • Maintain strict confidentiality of all student records and data in accordance with provincial/federal regulations and school division policies.
  • Perform other duties as assigned by the Director of Education.

Qualifications:

  • A high school diploma or equivalent is required.
  • Post-secondary education in administrative studies, information management, or a related field is an asset.
  • Previous experience in clerical or administrative work, preferably within an educational institution.
  • Experience with student information systems (SIS) and government reporting platforms is strongly preferred.
  • Proficiency in the use of database systems and MS Office Suite (Word, Excel, etc.).
  • Excellent organizational skills, with the ability to manage multiple tasks and deadlines.
  • Ability to maintain confidentiality and handle sensitive information.
  • Ability to work collaboratively as part of a team and independently.
  • The role involves significant computer and data entry work, requiring attention to detail and a strong understanding of technology systems.
